Job Description: Branch Manager

The CARtime network of car service and repair services has 38 branches nationwide. From time, our branches require experienced Sales advisors/Workshop Managers, to fulfil the following requirements:
Security:
– Ensure that all doors and windows are closed when locking up.
– Security system must be activated.
– Respond to the alarm if phoned by the security company.
– Take immediate steps to ensure that the premises are safe if the workshop is burgled.

Customers:
– Book in the customer’s car and/or supervise receptionists to book in cars and more importantly establish a relationship with your client.
– Test drive the car before handing over to the mechanic and enter all defects on the job card.
– After the mechanic has checked the car, double check yourself. Then complete a quote for all the extra work and contact the customer for authorisation.
– If the car will not be ready as promised, contact the client in good time.
– Test drive the car and ensure that all the work authorised has been completed before handing it to the customer.
– When the customer collects the car explain what work was carried out. Explain in detail the consequences of all work not authorised by the client.
– Comebacks are a priority. Deal with that complaint immediately and come to an agreement with the client as soon as possible.
– Ensure that no car leaves the premises without payment.
– All cash must be locked away in the safe immediately.
– Only use new or reconditioned parts.
– Strongly recommend only ordering parts from CARtime approved list of suppliers.
– Never make a temporary repair to help a customer because of time or cost.

Workshop:
– Actively manage mechanics, fitters, and cleaners
– Allocate work to workshop employees and control and monitor productivity.
– Ensure that mechanics find and report every fault found on every car.
– Ensure that parts arrive on time.
– Ensure that the mechanics comply with their “Mechanics Check List and Duties”.
– Ensure that all staff complete their daily Productivity Report.
– Ensure that all work is carried out safely.
– Ensure that all parts supplied to mechanics are fitted. (All old parts must be put into a refuse bag and placed in the client’s vehicle)
– Ensure that employees comply with the CARtime Disciplinary
– Check cleanliness of workshop and tools.
– Check that all vehicles are cleaned before handed over to the client.
– Make sure that the workshop does not run out of consumables and oil.
– Write down the progress of each car that is staying over.
– Supervise all complicated repairs.
– Diagnose problems.
– Make sure that all cars and parts that are subcontracted out e.g., gearbox, CV Joints, Electrical jobs etc. Go out on time and are back on time.
– Institute a fool proof written control of parts to be returned to suppliers (daily).
– Ensure that all cars going out on the day are finished by 16h00.
– No cars to be brought into the workshop without a completed job card, signed by the customer.

Reception:
– Supervise the receptionist’s duties (See job profile)
– Ensure that all control systems that are in place are strictly upheld.
– Take responsibility for discipline and time keeping.

Customer Payments:
– Ensure that all payments are strictly in accordance with the payment policy in this manual.

Driver:
– Supervise the activities of the driver and ensure that the delivery and collection of parts is carried out efficiently. Monitor the transportation of clients.
– The driver must have a logbook and must reconcile the petrol costs.

Financial Requirements:
CARtime expects a minimum monthly turnover.
– Managers must take a proactive role to generate new business.
Staff Requirements:
– Oversee all staffing.
– Conducting and managing disciplinary processes from warning letters to firing.
– Identify staff requirements and advise owner.
– Handle staff grievances and understand Basic Conditions of Employments.
– Manage staff workflows.
– Manage casual staff (flyer guys), sign on, check sign out and payment of wages. Policy and if not issue the individual/s with the appropriate warning.

Working hours:
– Monday to Friday: 07h00 to 17h30
– Saturdays: 08h00 to 13h00
